Data and purposes
We process identification, contact details, email, phone, company and tax information, memberships and permissions to manage accounts and services. Modules may hold customer/staff contacts, addresses, coordinates, inventories, quotations, routes, storage, agreements, expenses, payments and documents.
Messages, audio, transcripts, photographs and files support assistance features. Session identifiers, events, consumption and technical errors support access, audit and security. Device preferences, drafts and copies are described in the local storage policy.
Data managed by companies
When processing customer, worker or supplier data under a company's instructions, we act as a processor under the agreement. The company must have applicable authorizations and grounds, inform individuals and limit the data it provides.
Do not include unnecessary sensitive or children's data or data whose processing is not properly authorized. Photographs and documents may contain additional information; avoid unrelated content.
Providers and international processing
We use Vercel for hosting; Supabase for authentication, data and some documents; Cloudflare R2 for files; Resend for email; Google Maps for addresses/routes; and Evolution/WhatsApp for messaging. The 4NODOS PDF service processes documents to generate them.
Gemini and DeepSeek support AI features by content type. Mercado Pago is the selected operator when subscription billing is enabled. These services may involve processing outside Colombia. Data shared depends on the feature; the whole database is not indiscriminately sent to each provider.
Shared files may come under recipients' control. Do not publish others' links or documents without authorization.
Artificial intelligence
Enabled functions may send texts, images, documents or audio to AI providers for extraction, transcription, suggestions or knowledge search. Review results before using them in operations.
4NODOS does not use customer data to train its own models. Providers' terms and contracted services govern their own processing; this is not a blanket guarantee about every third party.
Authorizations and marketing
We explain processing when collecting data and obtain authorization where applicable. Authorization needed for the service is separate from the agreement and payment mandate. Marketing is optional and declining it does not prevent access to the contracted service.
Withdraw marketing authorization and manage optional decisions in settings or through support. Withdrawing marketing does not cancel your account or prevent necessary transactional communications.
Retention and security
Data is retained as needed for its purpose, the contractual relationship and applicable obligations, including claims and justified evidence retention. Effective termination starts a thirty-day export window. Backups follow their rotation cycle.
Device drafts and pending operations may remain until synchronization, discard or cleanup. Signing out does not necessarily erase every copy. The storage policy explains these differences.
We use user/company access controls, credential protection and audit records. Protect your device and downloaded files; absence of all security incidents is not guaranteed.
Rights and procedure
You may access, update and correct your data; request proof of authorization and information about its use; withdraw authorizations or request deletion where applicable; and complain to Colombia's Superintendence of Industry and Commerce under applicable requirements.
Describe your request and data concerned. We verify identity proportionately without asking for passwords. Inquiries are handled within ten business days, extendable by five with reasons. Claims are handled within fifteen business days starting the day after complete receipt, extendable by eight with reasons and the response date.
Deletion or withdrawal may be limited by applicable legal/contractual retention obligations. When acting as processor, we coordinate with the responsible company. Policy changes are communicated and versioned.
